Jenny Kingston Therapy and Coaching offers therapy and coaching in person and online. I, Jenny Kingston, am the Data Controller for Jenny Kingston Therapy and Coaching, as registered with the Information Commissioner’s Office (www.ico.org.uk).
Your privacy is important to me. This privacy statement explains what personal data Jenny Kingston Therapy and Coaching collects from you and how I use that data.
What personal data do I collect?
I collect data such as your email address and telephone number so that I can operate effectively and provide you the best experience when using my services. You may provide some of this data directly when you contact me to request information on my services or during a follow-up discussion(s), through email contact and / or therapy or coaching sessions. Additional data related to your therapy sessions (for example interventions I may use and information you provide me in our sessions) will also be stored for record-keeping and insurance purposes for a period of 7 years. This includes any information sent to me by a third party (e.g. GP or insurance company). After 7 years, paper records are shredded and typed data are permanently deleted. Additional data related to your coaching sessions will also be stored for record-keeping and insurance purposes for a period of 5 years.
The basis on which I keep client data is that of “Legitimate Interests”. It is therefore data that you would reasonably expect me to hold and use.
How do I use your personal data?
I use the data I collect from you to contact you for therapy and/or coaching sessions (phone numbers and email addresses), to communicate with you in response to enquiries, to provide you with relevant invoices for my services, to arrange or reschedule appointments and to contact you with useful information following a therapy or coaching session discussion.
Where is your data held?
All your personal information is password-protected on cloud-based storage and my computer’s hard drive. Any details held on my phone are fingerprint/Face-ID protected. Notes are handwritten and are kept in a locked filing cabinet. A code system enables me to know whose notes are whose, but no-one else would be able to identify who they refer to.
Do I share your personal data?
I will only ever share your data with your explicit prior consent (subject to the following exclusions) or as necessary to complete payment transactions. For therapy, the exclusions cover sharing data with your GP (as deemed necessary) and for any reasons covered by the Disclosure Requirements detailed in your contract (also discussed when we first meet).
Your data rights
You have rights with regards to the data held about you. You can request access to all data held about you and I will provide this as soon as I can (within 1 month unless this is impossible due to holidays or illness).
If you wish me to erase your data, please let me know and I will delete any computer records and shred any paper records as soon as I can (again within 1 month unless this is impossible due to holidays or illness).
If there is any breach of data security I will give full details to the Information Commissioners Office and any person affected within 72 hours of the breach and do all possible to minimise any potential impact.
Do you follow a Code of Ethics?
Yes, the National College of Hypnosis and Psychotherapy Code of Ethics.
